Uploading and managing files on the whatIf? website

Initial time a file is uploaded

In order to upload files your account has to be setup to allow it and the file must be less that 100M. If that's the case here are the steps to upload a file:

  1. Login to the website and go to the Downloads page through the link on the far right just under the banner
  2. Click on the “Add File” link on the right side just above the categories box
  3. You will be asked to select from a list of categories
    1. Client Uploaded Files - this is available for all clients but only what if staff will be able to see the file once it is uploaded and you will not be able to edit it later. Used mainly for quick one off uploads.
    2. your “My Downloads” category which will be visible to whatif staff and others at your site. You will be able to update the file and older versions will be kept
  4. Choose the appropriate location and fill in all sections of the form (it won't let you skip sections):
    1. The File Name box is for an descriptive name for the file, not it's actual file name
    2. The Description box should have some sort of note about the file
    3. The Upload File box is used for the actual path and filename on your system to access the file and the Browse button can be used to locate it.
  5. When that's complete click on the “Add Submission” button at the bottom.
    1. Note if it is a large file it will appear to be doing nothing for a long while but the browser will show that it's in the “loading” state
    2. Eventually you will get a message saying your file has been uploaded

Re-uploading/editing a file

If your file was uploaded in the “My Downloads” section, you can always go and retrieve it or edit it. This is not available for the other category. Each subsequent time you upload a file you should go to the original file and “edit it” to put up the new version. It's very useful to keep track of versions and you can retrieve older versions later. We try to use the long description box to keep track of some notes about the updates to each version.

Only the person who originally uploaded a file can re-upload or edit information about that file. Here's the steps:

  1. Login to the website and go to the Downloads page through the link on the far right just under the banner
  2. Go to your “My Downloads” category and click on your file
  3. If it is a file you uploaded you will find in the box on the bottom right a link called “Edit this file”, click on that
  4. You will be presented with a form filled in with the original information about the file. You can change any of these fields and save
  5. To upload a new copy of the file click on the link “Upload a new file to replace existing one?” at the bottom and browse it in

NOTE all older versions of the file are kept and are still easily accessible!

Accessing old versions a file

The whatIf? staff and others in your group with access to your “My Downloads” will be able to download the file you uploaded and previously uploaded versions of the same file by:

  1. Login to the website and go to the Downloads page through the link on the far right just under the banner
  2. Go to your “My Downloads” category and click on the file of interest
  3. To see the older versions scroll to the bottom and they will be listed there with “Operation” buttons to the right which can be used to download the file or various other things if you are the creator.
